What’s changing in Kenyan tax

Stay ahead of the rules and the penalties. We handle these for our clients.

eTIMS invoices

Every business, including non-VAT traders, must issue eTIMS invoices, and expenses without them are not deductible. Self-onboarding takes minutes, and we can do it for you.

Payroll deductions

SHIF is 2.75% of gross pay, and NSSF is 6% each for employer and employee within the current earnings limits. Late SHIF remittance attracts a 2% monthly penalty.

Earlier individual deadline

From 2027, individual returns are due by 30 April, not 30 June. Freelancers, landlords and the self-employed should start preparing earlier.

Monthly payroll returns: PAYE, Housing Levy, SHIF, NSSF (due by the 9th)

KRA iTax: PAYE and Housing Levy

  1. Log in to iTax with your KRA PIN and password.
  2. Go to Returns → File Return and select Income Tax – PAYE.
  3. Download the P10 Excel template.
  4. Enter employee details, gross pay, personal relief (KES 2,400 a month), NSSF, SHIF and the 1.5% Housing Levy.
  5. Validate the sheet, zip it, upload it and generate the payment slip.

SHA: SHIF

  1. Log in to the SHA Employer Portal.
  2. Deduct 2.75% of gross pay (minimum KES 300) for every employee.
  3. Upload the payroll schedule, generate the payment slip and pay by M-Pesa or bank. Late payment costs 2% a month.

NSSF

  1. Log in to the NSSF Portal.
  2. Upload the return schedule showing 6% employee plus 6% employer across Tier I and Tier II (limits: KES 9,000 lower, KES 108,000 upper).
  3. Validate, generate the payment advice and pay via Paybill 333300 or bank.
How to onboard on eTIMS
  1. Log in to the eTIMS portal with your KRA PIN and iTax password.
  2. Click Service Request and choose your solution. Small and micro non-VAT businesses use eTIMS Lite; VAT-registered businesses use the eTIMS client or system integration.
  3. Submit. KRA no longer approves applications, so you can start straight away.
  4. Set up your items and prices, then issue a first invoice.
  5. Ask every supplier for an eTIMS invoice made out to your PIN, because expenses without one are not deductible.
How to file monthly turnover tax (1.5%, due by the 20th)
  1. On iTax, use Amend PIN Details to add the Turnover Tax obligation (turnover between KES 1 million and KES 25 million).
  2. Go to Returns → File Return → Turnover Tax and enter the month’s gross sales. The system calculates the tax.
  3. Generate a payment registration number (PRN) and pay by M-Pesa on Paybill 572572, with the PRN as the account.
  4. File a nil return for months with no sales, or it counts as non-filing.
How employees file the annual iTax return
  1. Get your P9 from your employer (due by 31 January).
  2. Log in to iTax and go to Returns → File Return, then select Income Tax – Resident Individual.
  3. Choose File Online or download the IT1 Excel form. If filing online, confirm that the P9 figures pulled from your employer’s submissions are correct.
  4. Check gross pay, deductions (NSSF, SHIF), personal relief (KES 28,800 a year) and tax paid.
  5. Submit, then download and keep the acknowledgement receipt.

Deadline: 2025 returns were due 30 June 2026. From the 2026 year onward, individual returns are due by 30 April (2026 returns: 30 April 2027).

How to file a nil return
  1. Log in to iTax with your PIN and password.
  2. Go to Returns → File Nil Return.
  3. Select the tax obligation (for example, Income Tax – Resident Individual, or VAT).
  4. Select the return period (usually 1 January to 31 December for individuals).
  5. Click Submit and download your receipt.

Mixing M-Pesa or bank accounts is the single biggest reason books get messy. Open a dedicated business account or till, even a simple one, and move everything through it. Your future self (and your accountant) will thank you.

Rental and freelance income aren't taxed the same way

Don't assume one return covers both. If you earn from rent and from freelance or consulting work, each has its own filing rules, keep them separate in your records.

Do I need to visit your office?

No. Most clients work with us entirely online by phone, WhatsApp, email or video call. You can also meet us on Magadi Road by appointment.

I have old KRA penalties. Can you help?

Yes. The tax amnesty waives penalties and interest on qualifying debts up to 31 December 2025 if the principal is paid by 31 December 2026. We check what applies to you and help you file and pay.

My business is small. Do I still need eTIMS?

Yes. Everyone in business must issue eTIMS invoices, including non-VAT traders. There’s a simplified option for small and micro businesses, and we can set it up for you.

Do you train graduates and junior accountants?

Yes. We run practical workshops on iTax, eTIMS, payroll and statutory returns, and hands-on QuickBooks, Zoho and Excel training, plus mentorship for starting your own practice. Choose “Practical training” in the booking form.
